Race Day Volunteer Job Descriptions
Bryan Station Defender Classic 5K Run/Walk

Volunteers from the participating groups are needed to perform important jobs on race day. The job list below may change slightly as Leader positions are filled and the Leaders determine how much help they need. Due to the scheduling, some volunteers may be able to rotate from one position to another (e.g., from Registration to Course Director).

To be fair, each of the groups should have an equal number of volunteers unless it becomes obvious that a particular group is not able to provide enough volunteers.

We are fortunate this year to have several volunteers from the University of Kentucky PAW Organization. PAW stands for Preparing Aspiring Wildcats. This is a group of students that assists the Undergraduate Recruitment office by representing UK at a number of recruitment functions. They volunteer their time to help recruit high school students to UK, while serving as a great example of an upstanding UK college student. Thank You PAW members!!!

When you sign up to volunteer, please indicate the group (Band, Football, etc) you are supporting. Indicate "All" if you are volunteering to support all groups.

Volunteer Job Descriptions
Registration
The Registration area should provide a pleasant and efficient experience to race day entrants and pre-registered entrants. Short, fast moving lines is one goal. Accurate bookkeeping of the money collected is a second and very important goal. This area needs four tables:
  1. Blank Entry Form Table (1) - Used by non-registered entrants to complete their entry form before entering a registration line.
  2. Registration Tables (2) - Used by Registrars to collect completed entry forms and money.
  3. Computer Entry Table (1) - Used by Computer Entry volunteer to enter Name, Age and Race Number of each race day entrant
Leader - Adult that will organize race day packet pickup and registration.
Duties include:
  1. Arranging tables so that blank entry form table is in front of registration tables.
  2. Instructing helpers on dispensing race packets, collecting entry forms and money.
  3. Delivering all entry forms and money collected to race directors.
Helper - Adult or student that will assist Registration Leader. Helper duties are described below.
  • Registrar
    1. Accepts completed entry forms and money from race entrants.
    2. Ensure money collected matches the entry form selections.
    3. Write race number (from race bib) on entry form.
    4. Write check number or CASH on entry form.
    5. Give race bib to participant and ask them to move to the blank entry form table to write their information (Name, Age, etc) on the bib.
  • Greeter
    1. Greets participants.
    2. Directs non-registered runners to blank entry form table.
    3. Directs pre-registered runners to the pre-registered packet pickup table.
    4. Reminds folks standing in the registration lines to have their entry forms completed and their money ready.
  • T-shirt Puller
    1. Listens for directions from Registrars and provides proper size T-shirt to race entrant.
  • Computer Entry
    1. Works with Computer Entry Roamer to collect completed entry forms from Registrars.
    2. Enters Name, Age and Race Number into race timing spreadsheet.
Registration closes at 8:30 so these volunteers may be dispatched to other areas that open at 8:30 or run/walk the race!

Lobby Directors
Leader - Adult or student that will welcome visitors to the school and direct them to the registration tables, restrooms, and cafeteria for the Awards ceremony.
Helper - Same duties as Leader.
These volunteers may contribute to the photography team by snapping photos of all the activity in their respective area.

Pancake Breakfast
The Pancake Breakfast is wonderful addition to the 5K and is a BSHS Band fund raiser as well. These volunteers will most likely all be members of the BSHS Band Boosters.

Parking Lot Directors
Leader - Adult that will oversee the south parking lot between the Baseball and Football Stadiums. The parking spaces in the center of this area need to be blocked off early since the race will start at the south end of this lot and proceed north to Edgeworth. This person should ensure that the course path is not blocked and traffic is stopped while runners are present.
Helper - Adult or student that will assist Parking Lot Directors Leader.

Split Callers
Adults or students that will stand at a mile marker and call times from a stop watch to passing runners. These volunteers may contribute to the photography team by snapping photos of the race from their post.

Course Directors
Adults or students that will stand on the course at key turns to direct runners appropriately. These volunteers may contribute to the photography team by snapping photos of the race from their post.

Course Signage
Leader - Adult that will work with the Race Director to design a signage plan that will help all race participants stay "on course". This volunteer will determine the number of signs required and procure these signs by soliciting donations from the community. Old political signs are great for this! The Course Signage Leader will also coordinate placement of the Course Director volunteers.

Police Posts
LexPD may allow our volunteers to staff some posts they have identified for traffic control. This reduces the charges we incur for LexPD services.

From LexPD: Civilian volunteers will need some type of traffic vest, a vehicle or barricade to block access onto the race course, and some means to communicate with the race officials or LexPD. Barricades / cones can be rented reasonably from Saf-Ti-Co, Inc. (233-9326 ).

Water Table
Adult(s) or student(s) that will set up a table in the BSHS parking lot approximately outside the Band Room door. Fill at least two 5 gallon water coolers and fill cups from cooler for runners and walkers as they pass by. Stay off the course when handing out water! You may place a cup in the palm of your hand for runners to grab as they pass by. Clean up all cups after race is over. NOTE: Water coolers may be borrowed from the school concession stands behind the gym. Contact school custodian Buford Green to get the coolers on Friday, April 18.

Finish Line
Leader - Adult to setup finish line chute and tables (one for Time Keepers and one for the Results Compiler at the end of the finish line chute).

  1. Time Keeper #1 - update timing sheets for odd minutes (15, 17, 19, etc).
  2. Time Keeper #2 - update timing sheets for even minutes (16, 18, 20, etc).
  • Time Keepers will update the timing sheets by placing a mark in the "Seconds row" corresponding to the finish time for each finisher. When possible, the bib number of the finisher should be written in the corresponding row as well.
  • Race Number Collectors at the end of the finish line chute will collect race numbers and sort them in order of finish by placing the tear off portion of the race bib onto a "stringer".
  • Results Compiler will receive the timing sheets from the Time Keepers and race numbers from the Race Number Collectors and compile the overall race results either manually or using a computer. Partial race results may be delivered to the Awards Team so that race finishers have the option of picking up their award before the Awards Ceremony.

Food/Drinks
Leader - Adult to setup tables in the finishing area and organize the food/drink preparation. Tables may be located in the exterior breese way near the rear gym corridor entrance/exit.
Duties include:

  1. Fill two large water coolers.
  2. Get sports drinks from Freida Tussey.
  3. Open boxes containing race rolls from Great Harvest.
  4. Cut up fruit (probably bananas).
Helper - Students that will assist Leader in food/drink preparation.

Photographers
Race day photos may be uploaded to http://photobucket.com/2009BSHS5K. This is a group album that will be reviewed and the best photos will then be transferred from the group album to the Bryan Station album on photobucket.com. A link will be created on the race website to the final "2009 Defender Classic 5K" album.
